In picture above I am in contacts. I can choose Account Name, but I want to search on VATNo instead. Is this possible as an Admin?

on list view and filter you are only able to filter for fields of the current module. If some fields does not show up you need to enable the fields in studio -> "your module" -> layouts -> search
If you want to filter for fields that are from other modules related to the current one, you need to pull the information into your record.
For example if the VATNo is on the accounts module and you want to filter on the contacts for the account VATNo you need to add this information to the contact module by creating a custom field and set a calculated value to it.
The formula you need is:
*the field_name on this formula is the Name, not the Display Label:
PS: this won't work for your other question about the system number on contracts ;-)

Unfortunatly this only works on new records. So my other 35.000 accounts record will not functions..:-(
that is correct, SugarCRM recalculates this field as soon as a record has been touched again (like edit something on it)
For existing records you need to recalculate the values via the listview. How to:
Unfortunately you can only update 1000 records per batch so you need to set a filter on your contacts listview that enables you to filter out already updated records. This is not possible with text fields because the availbale filter operator are "exact matches" and "starts with"
Add an additional checkbox to contacts, don't put it into the layout but make it available for filter and massupdate.
Now filter for all contacts that has not ticket this checkbox, select the first 1000 records and run a massupdate for setting this checkbox to "true". With this change your record has been edited and the recalculation has been triggered.
Repeat this 35 times until no records appear in your list view anymore.
Important: Don't do this when "date modified" on Contact records is an important information within your instance. Massupdate will change it!
Also don't to this if you have workflows or other automatisations that should not be triggered.
