I'd like to set an email notification for when a document is going to expire. Is that possible?? How it has to be done? Thanks a lot!
Hi Sara Moncasi
What is the version of your SugarCRM instance?
If yours is ENT 7.6 or greather so you can do that through Process Definition.
HI André Lopes,
Sugar version is 126.96.36.199. I've tried to add it by Process Definition, but there's no way I can link it to Documents and Expiring Dates...
Can you please detail me the steps just to be sure I'm not missing something essential? Thanks a lot!
Please create process definition by following below.1.Target module as "Documents"2.Status as "Enabled"and click on save &design.
We need three elements to achieve this.1.Start Event.(Notification for Documents expired)2.Send Message.(Notification to document creator)3.End Event.(End)
So place three elements in layout designer.
Start Event1.Right click the start event and click on settings,Module will be documents as preselected,Then come to "Applies to" field choose as "Updated Records only(All updates -See help text)
2.In criteria,Select Evaluation->Field Evaluation-> and select Module as Documents and in Field -> select Expiration Date is Equal to 07/08/2017 and click on save
Send Message 1.Right click the this event and Click on Setting.Documents will be preselected.2.In Process Email template,Select your designed template(if you dont have process email template, please create one and select it here)3.In To field click on user and Select document as module and in user who select as "Created the record".
End Event1.Select "Do Nothing".
and connect these three elements and save the process definitions.
I have screenshots for your reference.
Now update any document with "07-08-2017" as expiration date that is created by you then you would receive an email notification.
You can send notification based on status field too.So change the conditions accordingly.
Notes :1.Ensure Process workflow tasks is running.2.Ensure outbound email settings are proper.
