If you are able to standardize the follow up events then you can enjoy the Workflow Management of PRO edition. It will enable you creating related records (Notes, Calls, Emails) and send automatic alert Emails.

If you are able to upgrade to Enterprise edition then you can explore all features inside Advanced Workflow (aqa Process Author), which enable you creating related records with flexible information and much more.

You can make a note when an email comes in via workflow functionality as suggested by Andre. However the ability to copy values between modules via workflows is a functionality currently not available in the application.

One of our partners may be able to implement this functionality for you via code customization.

You might be interested in logicbuilder With it you can automatically create records either related or not (depending on your task), as well as copy values from one record to another.
